Voiced respects your right to privacy. This policy explains how we handle personal information in accordance with the Protection of Personal Information Act 4 of 2013 ("POPIA") and the Electronic Communications and Transactions Act 25 of 2002.
1. Who is the responsible party?
Voiced is the "responsible party" (data controller) for personal information collected through this platform. Contact information is provided on our website.
2. Information we collect
- Technical data: standard log data such as IP address, browser type and timestamps, used to keep the service secure and reliable.
We do not collect the content of the emails you send from your own email application to parliamentary committees.
3. How we use your information
- To provide the platform and let you draft submissions;
- To measure aggregate civic engagement (e.g. "X submissions were made this month") in a way that does not identify you individually;
- To keep the service secure and to comply with legal obligations.
4. Legal basis for processing (POPIA)
We process personal information based on your consent, the performance of our service to you, our legitimate interestin maintaining a secure platform, and where required to comply with law.
5. Sharing of information
We do not sell your personal information. We share information only with:
- Trusted service providers ("operators" under POPIA) that host our infrastructure and send email, under written data-processing terms;
- Parliamentary committees — but only the information you choose to include in the email you send yourself;
- Authorities where required by South African law or a court order.
6. Cross-border transfers
Some of our service providers may process data outside South Africa. Where this happens, we rely on providers that offer a level of protection substantially similar to POPIA, as required by section 72 of the Act.
7. Retention
We keep technical log records only for as long as needed for legal, dispute-resolution and security purposes. You may request deletion at any time.
8. Your rights under POPIA
You have the right to:
- Access the personal information we hold about you;
- Correct or update inaccurate information;
- Object to processing or withdraw consent (this may affect our ability to provide the service);
- Request deletion of your personal information;
- Lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.
9. Security
We use appropriate technical and organisational measures to protect your information, including encryption in transit, access controls and reputable hosting providers. No system is perfectly secure; you use the platform at your own risk.
10. Children
Voiced is intended for users aged 18 and older. If you believe a minor has provided us with personal information, contact us and we will delete it.
11. Cookies
We use only cookies and local storage that are strictly necessary for the platform to function, such as keeping you signed in. We do not run third-party advertising trackers.
12. Changes to this policy
We may update this Policy from time to time. Material changes will be communicated on this page and, where appropriate, by email to registered users.
